Auto generated - always up-to-date teams from All4Schools - versus self-generated teams within O365
From the coming school year onwards, class teams will be created from All4Schools and a team for all employees will be created analogous to all "class details" on All4Schoolls.
Side note: Existing class teams can be mapped as far as possible, i.e. integrated into the new system.
For this your local IT-Support needs:
Teamname / Ownername / schools city of school for the old team
Teamname / Ownername(n) /schools city of school for the new team.
What are the advantages of an auto generated team on O365 that is always synchronised with All4Schools in terms of user data?
- Owner à classes/subject teachers are automatically added as owners of the class team.
- Member à all pupils are added as members
- All user data is always kept synchronised from All4Schools.
Example: If Max is a new member of class 3 at the school, as soon as he can be officially created by the office, he will appear in the correct team as a member a short time later.
- A class is mutated - i.e. class 3 becomes class 4 etc.
The teams are also included here in the same way as the new class details.
E.g. "ZH-Team-Class3" - becomes "ZH-Team-Class4". A class team is continued from the first to the last class with the same class ID - also to prevent uncontrolled growth on O365.
- If a teacher or pupil leaves, he or she no longer has direct access to the team and a new owner = teacher is added to the team via the entry on All4Schools.
In which form are the class teams created?
All subjects of a class managed in All4Schools are integrated as a channel in the class team. In addition, a team calendar across all subjects is also added to the team as a channel. All appointments entered there by the teachers are visible to all team members of the class.
It is strongly advised not to create your own class teams on O365 - class teams should always be based on the entries in All4Schools for the reasons described.
Can I still create my own teams in O365?
Teachers can still create their own teams. The responsibility for the content lies with the teachers for both types of teams - however, there is the additional maintenance effort which, in the case of auto generated teams, is indirectly taken over by the secretariats when maintaining the data records on All4Schools.
